40th REGIMENT ROYAL ARTILLERY FINAL PARADE WEEKEND 22 - 23 JUN 12 – WARNING ORDER

INTRODUCTION

1. In line with current orders for the down scaling of the Army the Regiment will parade for the final time in Jun 2012 when, the Regimental flag will be lowered for the last time and medals will be presented to members of the Regiment. The parade will take place on 22 Jun on the Esplanade of Edinburgh Castle and will be followed on 23 Jun by an all ranks function in Murrayfield sports stadium. This will be a ticketed invite to all serving and ex-members of 40th Regiment Royal Artillery.

AIM

2. The aim of this warning order is to outline the main dates of the Regimental parade weekend. It should provide sufficient information for all involved to develop their plans for attending in good order. This warning order will be used as the framework upon which the planning committee will base all further actions.

ACTIVITIES IN OUTLINE

3. Several key activities form the time line leading into the weekend. Activities may change as the plan develops. What will not change is the date of the parade and the all ranks party. The key events are as follows:


a. Final Parade – The Regiment will parade on the Esplanade on the evening of 22 Jun as a Regiment. The parade will see all serving members of the Regiment being issued with either a medal (OSM) or Regimental coin and will encompass the lowering of the Regimental flag from the castle battlements for the last time. On completion of the flag lowering, the Regiment and veterans will march off together. Details will follow regarding the form-up of ex-members prior to the march off. All troops should expect to be engaged in this activity from the hours of 1800 to 2000.
Should the freedom of the city be granted, the Regiment will march to and from the council chambers and memorial to receive the freedom. This will mark the start of the parade. The detail of the parade remains the responsibility of the RSM. The Dress for the parade for ex-members who wish to march is requested that smart civilians preferably Blazers / Suits with Regimental / Bty Ties if owned are to be worn. Please send your returns to your respective Bty OCA leader stating if you are attending the parade and whether you wish to march off the Esplanade with the Regiment. Please note there is currently no limit for personnel who wish to attend the parade.

b. All ranks function – On the evening of 23 Jun the Regiment will hold an all ranks function in Murrayfield sports stadium. All serving and ex-members of the Regiment will be invited by ticketed invitation. A detailed admin instruction will follow as details are confirmed with regard to timings, returns, tickets and payment. Once you have received this warning order please send your returns to your respective Bty OCA leader stating if you are attending the Regimental Reunion as well as details regarding the number of guests you wish to bring. This will be limited to 600 tickets on a, first-come-first-served-basis, due to the venue which only has a capacity of hosting 1200 personnel. We have divided the distribution of tickets evenly between serving members / families and ex-members. The cost per ticket is £15. Once this information has been collected by OCAs they will return them to 40 Regt RA. A list of those who have secured tickets will be published and direction regarding payment and distribution of tickets will follow. Please note that the minimum age for attendance is 18 years. If you have not secured a ticket then access to the venue will be denied by Murrayfield stadium security due to their health and safety policy. If there are any tickets remaining they will be published once again by your OCA leader.

SUMMARY

4. On the sad occasion of the Regimental flag being lowered for the last time it is only fitting that the Regiment should form up with ex-members standing alongside current serving soldiers. This show of camaraderie embodies what we hold dear as the Lowland Gunners family and could not happen in a finer setting than that of the castle. We are sure that the parade and all ranks function will provide an excellent opportunity for members past and present to catch up and at the same time, say farewell in their own way.

5. It is hoped that this instruction finds you well and provides a basic understanding of what is planned. I am sure that you are all aware of the wider security issues regarding this event and the potential threat that exists for us all, so the information provided at this point has been kept deliberately short. Further detail will be promulgated as required and all ex-members are freely invited to contact the undersigned should they require further clarification on any issues.

The Commanding Officer, Regimental Sergeant Major and all members of the Regiment look forward to meeting you all on the occasion of our final parade.

INTRODUCTION

1. Continuing on from the Warning Order circulated to all OCAs, please see below information regarding the distribution of tickets, payment and the purchase of 40 Regt RA memorabilia.

AIM

2. The aim of this letter is to circulate information regarding payment and the receiving of tickets in good order. Once all OCAs have identified who requires tickets for the All Ranks Function they are to send the list of names to the Regiment. This information will be stored on our database. Every name will be allocated a serial number which will be printed on each ticket. Tickets will then be issued to you at the Castle by your OCA leaders on the evening of 22 Jun 12. If you are unable to attend the Parade but will be attending the function then you will receive your ticket on arrival at Murrayfield on 23 Jun 2012.

3. For all allocated tickets the Regiment must receive payment by 30 Apr 12.

5. If you are interested in Regimental memorabilia please see the attached available items and their cost. Once again the payment of these items must be with the Regiment by 30 Apr 12 so we can have the order here in time for Jun. Please send your payment along with your ticket payment stating which items you wish to purchase in what quantity.
Your items will be available for collection at the parade and on the evening of the All Ranks Function.
